A Guide for Correct Entries in the ORB Part I
MACHINARY SPACE
Overview
In line with IMO regulations, every oil tanker of 150 GT and above and every ship of 400 GT and above must provide and maintain an oil record book (ORB) on board.
This publication is a guide to completing entries within the ORB in a proper and consistent manner.
- Instructions and interpretations on how to properly record all related operations in accordance with MARPOL 73/78, Annex I, Regulation 17
- all related document in accordance with appendix iii MARPOL 73/78, Annex I,
- One spare ORB must be provided all the time.
- Retention period of ORB is 3 years from date of last entry
- Retention period of OWS printer paper 18 months.
- All tank capacity strict compliance of IOPP supplement
1. ORB entries must be in official language – English,
All entries must be in CAPITAL letters.
Must be endorsed by flag.

Indelible ink pen must
be used
No white ink to be issued for correction
4.In case wrong entry , it should immediately by struck through by a single line in such a way that the wrong entry is still legible, The wrong entry should be signed and dated with the new correct entry following.
8. 7. It is not permitted to
leave any full line empty between each entry.
8.Each page of ORB must
be signed by master

Master must inform the
chief engineer entry exits of special area
12. Tank name and capacities must be filled as per IOPP
Bilge water 15 ppm automatic stopping device manual and certificate,
Oily water separator discharge must not exceed the discharge rate shown in
IOPP certificate.
Defective/Restoration of 15 ppm alarm/auto stopping device must be entered
with the seal number of overboard valve.
14. 13. If a vessel has an approval for discharging engine room bilges to slop tanks, entry must be made both in ORB (Part I), code letter “D” & item numbers 13,14,15.3, as well as ORB (Part II, code letter J) in case of such transfers.
De bunkering bad fuel to the slop tank/barge require flag authorisation letter, same must be entered as :
C 11.4 Non IOPP tank to IOPP tank
C 12.1 IOPP tank to Barge
C 12.3 Incase the quantity is smaller, 12.3 Sludge tank (IOPP tank ) to Incinerator
14. The officer in charge of the operation under code-H should be chief engineer.
15. Code “D” or “E” must be assigned where bilge water is concerned.
Code “C” must be assigned where oil residues and sludge are concerned
The term Non-automatic is deemed to refer to the mode of starting, rather than a description of the capabilities of the system in operation. For example, if a system fitted with automatic recirculating, alarm and stop functions is manually started, then entries under “D” are appropriate.
16. The receipts obtained after discharging waste oil or dirty water to shore facilities must be kept in the safe custody of the chief engineer, attached to ORB.
17. A copy of schematic
pipeline diagram for bilge and sludge system should be displayed near OWS and
one additional copy should be available with the chief engineer for reference.
19.Seperate entries required for each grade of fuel oil bunkering capacity in MT.
(Entries in ORB not required when lube oil supplied in packaged form )
